Insurance e-signature with Logalty: how iMediador closes policies without paper
You’ve quoted the premium, entered the client’s details and completed the health questionnaire… and the sale stalls at the very last step: the signature. Print, scan, wait for the client to stop by the office again or send the paperwork back. That’s why insurance e-signature matters so much: the last step decides whether an application becomes a policy or ends up in a drawer.
For years, Lemondit has been developing and maintaining iMediador, the broker platform of Previsión Mallorquina, a Spanish insurer that specializes in coverage for the self-employed. One of its key pieces is electronic signature through Logalty. Here’s how it works, what’s behind it and what each party gets out of it.
iMediador: the whole sale on one platform
iMediador is the web platform where brokers and agents quote Previsión Mallorquina’s products, such as sick-leave and hospitalization coverage for the self-employed. From there, they process applications, look up policies and download documents. It also includes a widget that brokers can embed on their own websites, so end clients can get a quote and buy directly.
Every sale follows the same path: product, options and price, contact details, a health questionnaire when needed, payment details and signature. It’s all digital right up to the end. The challenge is making that last step digital too, without giving up any legal guarantees.
Why you need a trusted third party
Signing an insurance policy takes more than clicking a button. The insurer has to be able to prove which documents the client saw, when they received them, and how they accepted and signed them. On top of that, Spain’s insurance distribution law requires insurers to inform clients before they buy.
That’s where Logalty comes in. This Spanish company acts as a trusted third party: it sits between whoever offers the contract and whoever signs it, and it generates legally admissible evidence of the whole process. It’s a qualified trust service provider under the EU’s eIDAS regulation and is widely used across banking and insurance.
Insurance e-signature, three ways
Not every sale is the same. That’s why iMediador offers three paths and automatically shows the right one, based on rules the insurer sets for each product and case:
- Sign now: the client signs on the spot, in a Logalty window embedded in iMediador or the widget, without leaving the page.
- Sign remotely: the client gets a notice from Logalty by text and email and signs whenever it suits them, from their phone or computer. It’s the best fit when the broker submits the application without the client in the room.
- Sign on paper: the traditional route, kept for specific cases, such as when the policyholder and the insured are different people.
Immediate signing only opens once the insurer has accepted the application. If the insurer needs to review it first, the platform says so and lets the client know they’ll hear back soon. That way, nobody signs something that can’t be issued.
Immediate signing, step by step
- Tailored documents: once the application is submitted, a waiting screen appears while Previsión Mallorquina’s systems generate the personalized policy documents.
- Direct access, no passwords: the Logalty window opens right inside the page. The client doesn’t need to sign up or remember any credentials.
- Pre-contract information: first, the client sees the information notice and accepts it with one click. This creates a record that they received the information before buying.
- Signing the policy: next, they review the application, the policy’s specific and general terms and the withdrawal form. They have to download them before signing, which proves they had access to them, and then sign with a code sent by text. If they’d rather not sign, they can decline and give a reason.
- Result on record: iMediador picks up the outcome and passes it on to Previsión Mallorquina, which attaches it to the application or policy. Nobody has to do anything by hand.
- Certified copy: the client receives the signed documents by certified email, together with the evidence of the process. One message, the one that matters, at the end.
Small details make a big difference day to day. The process is available in Spanish and Catalan. If something goes wrong while the signature is being prepared, a retry button keeps everything already filled in. And brokers can pick up any pending signature from the platform’s inquiries section.
In the widget, every message is written for the end client: a thank-you, the application number, the policy number once it’s issued, and what happens next.
Behind the scenes: three systems in sync
Behind that simple experience, three parties have to understand each other: iMediador, Previsión Mallorquina’s systems and Logalty.
iMediador asks the insurer for the documents and signing conditions (wording, consents, deadlines and reasons for declining), prepares the case file and hands it securely to Logalty. When the client finishes, iMediador collects the result and records it with the insurer.
There’s one detail the business side will appreciate: the insurer controls those rules from its own systems. If it changes a consent text or a deadline, nobody has to touch the platform. And data only travels between the parties that need it, with every step logged.
It’s a challenge we know well. We took it on when we integrated over a dozen public institutions into a single platform for Spain’s General Council of the Judiciary: a regulated sector where several parties have to work together seamlessly, with full traceability. Just like there, every change is validated first in a test environment, with signatures that have no legal effect, before it reaches production.
An integration that keeps getting better
An integration like this isn’t something you build once and forget. It has been refined over time: documents were consolidated to speed up signing, the retry button was added, test and production settings were separated, and the way documents are retrieved was improved.
Our most recent contribution has been implementing the pre-contract information workflow that Logalty recommends:
- Separate acceptance: the information notice is accepted before the signature, as a step of its own.
- One document, one signature: each document travels on its own, which is clearer for the client and makes for cleaner evidence.
- A lighter package: documents that added nothing to the signature were taken out of the process.
- Fewer emails: the client only gets the message that matters, at the end.
What everyone gets out of it
- Clients buy without going anywhere, from any device, with no paper and in their own language.
- Brokers close the sale on the spot, without chasing signatures or scanning documents, and pick up pending ones whenever they like.
- The insurer gets legally valid evidence and proof that it informed the client before the sale. Every signature result is recorded automatically, and the wording and rules stay under its control.
- The business sees fewer applications stall at the last step, along with lower costs and fewer errors. It’s the same thinking behind how we eliminated manual work from tour booking management: let systems talk to each other so people don’t have to do it for them.
